Studio Account Config Settings
There are several configuration options that you may choose to change from the default behavior.
These settings can be updated in your web account portal.
To update these settings:
- Log in to your admin account (studio owners only)
- Click on "Studio Settings".
- Toggle the settings on or off.
- Click "Save" at the bottom of the list.
Send MINDBODY client email
When enabled, MINDBODY will send your clients who have enrolled in the subbed class an automatic email about the substitution, if the client has opted to receive email.
The MINDBODY client email setting is enabled by default
Note this email is configured in and sent by MINDBODY. Instrukt does not access your client information and does not send emails to your clients.
Enable double booking
You can use this feature when you want to allow instructors to be able to accept two separate sub requests for multiple versions of the same class. This could be an in-person and separate online version of the class or similar situation.
Double booking setting is disabled by default.
When to use it
Some studios run multiple versions of the same class at the same time, like an in-person class and an online session of the class, which show up as two separate classes in MINDBODY. Double booking lets one instructor accept sub requests for both class instances.
How it works
Instructors don't receive sub requests for classes that overlap with classes they're already scheduled to teach. But if two sub requests are open and have overlapping times, an instructor will see both. By default, when an instructor subs one of these overlapping classes, Instrukt blocks them from accepting the second one because it would create a schedule conflict.
With double booking on, your instructors can accept multiple sub requests that overlap in time.
Things to know
- The two classes aren't linked. Instrukt treats them as separate classes - just like MINDBODY does. Each requires a separate sub request. The requesting instructor should request a sub for both, and the accepting instructor needs to accept both.
- Both requests should go out at the same time. If the second request goes out after one of your instructors has already accepted the first, the instructor who accepted won't receive it, because Instrukt still won't send sub requests to instructors who are already scheduled at that time. If this happens, you'll need to update the second class manually in MINDBODY.
- Two different instructors can end up in the two versions. If different instructors accept each request at about the same time, each class gets a different instructor. You'll need to fix this manually.
- It doesn't stop other double bookings. With this setting enabled, instructors can accept overlapping subs for any two classes, not just two versions of the same class. They'll still only get sub requests for times they aren't already teaching, but they need to be careful not to double-book themselves by mistake.
Best practices to share with your team
- When a class has multiple versions, request a sub for all of them at the same time.
- When accepting, accept the in-person version first.
- Before accepting, check your schedule to make sure you aren't already teaching at that time.
